Before the meeting begins

  1. Prepare any introductions that you haven’t prepared already
  2. Familiarise yourself with changes to the agenda
  3. Check that there are no unusual timing procedures
  4. Check with the VP-Education for special events or modules

Beginning the education session

  1. Acknowledge the Chairperson and thank him/her for the warm introduction.
  2. Using your own words, briefly explain the Education Session (1- 2 minutes).
    Move into the Table Topics segment as quickly as possible.

    The education session is divided into three parts. The first part is table topics, your chance to deliver two minute impromptu speeches. The second part is the prepared speeches, tonight we have X speeches which our members have spent time preparing and rehearsing. The final segment is evaluations, where we find out how well we did and what we can do to improve.

    Note: The Education Session may sometime include an Educational Capsule (check with V.P. Education).

  3. Introduce the Table Topics Master. Begin the applause and shake his/her hand when (s)he arrives at the lectern. Wait until (s)he acknowledges you before you return to your seat.

Handling the intermission

  1. Once Table Topics are finished, lead the applause for the Table Topics Master and thank him/her. Ask the audience to vote for Best Table Topics Speaker if this has not already been done. Allow 2 minutes for voting.
  2. Announce the Intermission as indicated on the Agenda.

    We will now break for refreshments. Our agenda indicates a 10 minute break. [Timer] please let us know when it is time to return.

The Prepared Speeches

  1. Welcome everyone to the second segment of the Education Session–Prepared Speeches.
  2. In your own words, explain briefly the importance of the Communication and Leadership Program (2 to 3 minutes). You may also mention further educational opportunities available such as advanced manuals, Success and Leadership modules, etc. (Please don’t give the audience all the details at once. Invite members and guests to examine the manuals and other educational materials on display table.)
  3. Explain the purpose of the voting ballots and the Constructive Feedback forms for written feedback to the Speakers, and the award ribbons, if you’ve not yet done so.
  4. At the start of each speech:
    1. Ask the speech evaluator to give the objectives for the speech project
    2. Ask the timer to explain the timing procedure for the speech
    3. Introduce the speaker, remembering to give the title of the speech
    4. Lead the applause until they reach the lectern, shake their hand and return to your seat
  5. At the end of each speech:
    1. Shake the speaker’s hand and congratulate them
    2. Wait until the speaker returns to their seat
    3. Announce a two minute period for giving written feedback

  7. Ask timer if there were any disqualifications.
  8. Invite the audience to vote for Best Speaker.

Evaluation session

  1. After the final prepared speech, announce the third segment of the Education Session– Evaluations. Leave the full explanation to the General Evaluator.
  2. Introduce the General Evaluator. Pass control of the meeting to him/her. Wait until you are acknowledged before sitting.

After the evaluations

  1. At the conclusion of the evaluations, accept the gavel from the General Evaluator as he/she returns control of the meeting to you.
  2. Thank the General Evaluator and his/her team. Make a few positive comments on the session.
  3. Return control of the meeting to the Chairperson.
